This Privacy Policy explains how Calender, Inc.("Calender," "we," "us") collects, uses, and shares information when you use our website, booking dashboard, and public booking pages (collectively, the "Service"). It applies both to companies who subscribe to Calender("Customers") and to the individuals who book appointments through a Customer's booking page ("End Customers").
1. Information we collect
Account & company information
- Name, email address, phone number, and password when a Customer or staff member creates an account;
- Company details such as business name, address, and booking page settings;
- Billing information, handled by our payment processor Paddle (see Section 4) — we do not store full card numbers.
End Customer information
- Name, email, phone number, and service address submitted when booking an appointment;
- Booking details such as service selected, date/time, notes, and status history.
Because a service address often corresponds to a private residence, we treat it as sensitive: it is shared only with the Customer performing the service, never used for advertising, and never sold or shared with unrelated third parties.
Usage & device information
- Log data such as IP address, browser type, pages visited, and timestamps;
- Cookies and similar technologies used to keep you signed in and understand how the Service is used (see Section 6).
2. How we use information
- To provide, operate, and maintain the Service, including calculating availability and preventing double-booking;
- To send transactional emails: booking confirmations, status updates, appointment reminders, and account notices;
- To process payments and manage subscriptions through Paddle;
- To respond to support requests and communicate service-related updates;
- To detect, prevent, and address fraud, abuse, and security issues, including rate-limiting suspicious activity;
- To improve the Service, understand usage patterns, and develop new features.
We do not sell personal information, and we do not use End Customer data for advertising purposes.
3. Legal bases for processing
Calender is built primarily for businesses and their customers in the United States. We process personal data to perform our contract with you (providing the Service you signed up for), to pursue legitimate business interests (such as securing and improving the Service), with your consent (for optional communications), and to comply with legal obligations. If you are located in the EEA, UK, or another jurisdiction with its own data protection framework, these same legal bases apply to our processing of your personal data.
4. How information is shared
We share information only as needed to run the Service:
- Paddle.com Market Limited — payment processing and subscription billing, acting as merchant of record;
- Email delivery providers — sending transactional emails on our behalf;
- Hosting & infrastructure providers — storing data and running the application (databases, caching, backups);
- Customers themselves — a Customer using the Service can view the End Customer data submitted through their own booking page;
- Legal & safety — where required to comply with law, enforce our Terms, or protect rights, property, or safety.
We require service providers who process data on our behalf to protect it and use it only for the purposes we specify.
5. Data retention
We retain account and booking data for as long as an account is active, and for a reasonable period afterward to comply with legal, tax, and accounting requirements or to resolve disputes. You may request deletion of your account and associated data as described in Section 7, subject to records we are legally required to keep.
6. Cookies
We use essential cookies to keep you signed in and remember basic preferences, and limited analytics cookies to understand how the Service is used. You can control cookies through your browser settings; disabling essential cookies may prevent the Service from working correctly.
7. Your rights
Depending on where you live, you may have the right to:
- Access, correct, or delete the personal information we hold about you;
- Object to or restrict certain processing, or withdraw consent where processing is based on consent;
- Request a copy of your data in a portable format;
- Opt out of non-essential communications at any time.
If you are an End Customer and want to exercise these rights, please contact the company you booked with directly, as they control the booking data; if you are a Customer, contact us at [email protected].
Residents of California, Virginia, Colorado, Connecticut, Utah, and other U.S. states with comprehensive privacy laws (such as the CCPA/CPRA, VCDPA, CPA, CTDPA, and UCPA) have specific rights under those laws, including the right to know what personal information is collected, to correct or delete it, and to opt out of its sale or use for targeted advertising. We do not sell personal information, and we do not use personal information for targeted advertising, as those terms are defined under applicable state law.
8. Data security
We use industry-standard safeguards — including encryption in transit, access controls, and rate-limiting — to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. International data transfers
We may process and store information in countries other than where you live. Where required, we rely on appropriate safeguards (such as standard contractual clauses) for international transfers of personal data.
10. Children's privacy
The Service is intended for business use by adults and is not directed to children. We do not knowingly collect personal information from children under 16.
11. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated by email or through the Service before they take effect.
